ApplyBox Recruitment ("ApplyBox", "we", "us", or "our") provides recruitment and hiring software for employers and their candidates. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our website, applications, and related services (collectively, the "Services").

1. Information we collect

We may collect information you provide directly (such as name, email address, phone number, company details, and account credentials), information submitted through recruitment workflows (such as CVs, application answers, and interview responses), and technical data generated when you use the Services (such as IP address, browser type, device identifiers, and usage logs).

If you sign in with a third-party provider (for example Google or Microsoft), we receive profile information permitted by that provider according to your consent and their policies.

  • Authenticate users and maintain account security
  • Process applications, bookings, outreach, and onboarding on behalf of our customers
  • Communicate with you about the Services, support, and product updates
  • Comply with legal obligations and enforce our agreements

3. Legal bases (UK & EEA)

Where applicable, we process personal data on grounds including contract performance, legitimate interests (such as securing and improving our platform), compliance with legal obligations, and consent where required (for example certain marketing communications).

4. Sharing and processors

We share information with service providers who assist us in hosting, analytics, communications, identity verification, and AI-assisted features, subject to appropriate contractual safeguards. Our customers (employers using ApplyBox) may access candidate and recruitment data submitted through their hiring processes. We do not sell personal information.

5. International transfers

Data may be processed in the United Kingdom and other countries where we or our providers operate. Where required, we implement appropriate safeguards for cross-border transfers.

6. Retention

We retain information for as long as needed to provide the Services, fulfil our customers' recruitment purposes, resolve disputes, and meet legal requirements. Retention periods may vary by data type and customer configuration.

7. Security

We implement administrative, technical, and organisational measures designed to protect personal information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

8. Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal data, and to data portability or withdrawal of consent. To exercise rights relating to a job application, please contact the employer who collected your data. For account or platform requests, contact us using the details below.

9. Cookies

We use cookies and similar technologies for authentication, preferences, and analytics. You can control cookies through your browser settings; some features may not function without essential cookies.

10. Children

The Services are not directed to children under 16, and we do not knowingly collect their personal information.

11. Changes

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date.

12. Applybox Recruiter browser extension

Our Chrome extension ("Applybox Recruiter") is for authenticated ApplyBox customers. When you use it, we may process:

  • Your ApplyBox account credentials or SSO tokens, stored locally in Chrome storage to keep you signed in
  • Candidate profile information you choose to import from web pages you visit (such as name, contact details, job title, and CV files)
  • Technical metadata needed to operate the extension (for example API requests to ApplyBox servers)

The extension reads candidate pages only when you open the side panel and request an import; it sends data to ApplyBox over encrypted connections. It does not sell candidate data. Host permissions are limited to supported job boards, CRM pages, and ApplyBox domains required for sign-in and saving candidates. You can remove the extension and clear stored session data at any time via Chrome extension settings.
